TERMS AND CONDITIONS

  1. Studio Location and Operating Hours

    • Location: Unit 1a Patchendon Farm, Stapleford, Hertford SG14 3NN

    • Operating Hours: 7 days a week, 9:00 AM - 6:00 PM. Extended hours are available upon request and will incur additional charges.

    • Studio Areas: The studio is divided into two parts: the white area with the infinity cove and the lifestyle area. At the time of booking, please specify whether you wish to rent one area or both. The full terms and conditions apply to both areas. Additionally, there is a client area with a makeup station, table, and chairs that can be included upon request.

  2. Booking Process

    • How to Book: Clients can book the studio by calling 01992 667126 or emailing hello@hertfordstudios.co.uk. A booking form will be provided, and the booking will be confirmed once the form is returned and the deposit is paid.

    • Notice Period: While we prefer as much notice as possible, bookings may be accommodated with as little as 24 hours' notice, subject to availability.

    • The studio hire period must include set-up and clean-up times. Please do not arrive more than 10 minutes earlier for your booking.

  3. Payment Terms

    • Deposit: A 25% deposit is required to secure the booking.

    • Payment Methods: Payment can be made via bank transfer, debit/credit card, or other agreed methods.

    • Full Payment: The remaining balance must be paid no later than 7 days before the booked date.

    • Cancellations and Rescheduling:

      • Bookings may be cancelled or rescheduled with at least 7 working days' notice before the scheduled session date.

      • For cancellations made within 7 working days of the session date, the total amount on the invoice will be due and payable.

      • In cases of extenuating circumstances, please contact our team directly to discuss your situation.

  4. Rates and Fees

    • Rates: Please contact us directly for current rates, which may vary based on specific requirements and availability.

    • Cleaning Fee: A cleaning fee will not be charged unless the studio is left in an extreme state requiring professional cleaning services.

    • Prop Charges: Additional props are available and may be subject to charges as listed on our website.

  5. Damage and Liability

    • Responsibility for Damages: Clients are fully responsible for any damage to the studio, equipment, or props during the hire period. Hertford Studios will not be liable for any loss, theft, or damage to the Client's property.

    • Insurance: We strongly recommend that clients carry their own insurance to cover any potential damages or liabilities.

    • CCTV Monitoring: The premises are monitored both internally and externally by CCTV cameras. By booking with us, you acknowledge and accept this surveillance for security purposes.

  6. Equipment and Props

    • Included Equipment and Props: The hire includes basic studio equipment. Additional equipment and props can be hired as per the list on our website.

    • Client Equipment: If you choose to use your own equipment during the hire period, you are responsible for ensuring it is safe, fully functioning, and compliant with relevant safety regulations. Hertford Studios reserves the right to ask you to stop using any equipment that poses a risk to the studio or its occupants. You may be required to remove such equipment from the premises if deemed necessary. Any damage caused by or to your equipment is solely your responsibility and must be covered under your own insurance.

    • Lost or Damaged Props: Clients will be charged the full replacement cost for any lost or damaged props.

  7. Pets and Special Requests

    • Pets: Well-behaved and house-trained dogs are welcome in the studio. Dog treats are available on request.

    • Pet Charges: There are no additional charges for bringing pets, provided they meet the behaviour and training requirements.

    • We have the right to refuse entry to any animal should we deem necessary.

  8. Studio Rules

    • Activity Restrictions: There are no specific restrictions on the types of activities or productions allowed in the studio. However, clients are expected to conduct themselves responsibly and professionally.

    • Noise, Food, and Drink: Clients must notify us of any activities that will exceed 85dB, as we need to consider our neighbours. While there are no specific noise restrictions or rules regarding food and drink in the studio, clients are expected to maintain a reasonable level of respect for the space.

    • Capacity: There is no strict maximum capacity, but clients should ensure that the number of people present is suitable for the size of the studio.

    • Smoking and Prohibited Items: Smoking, illegal substances, and the consumption of any illegal substances are strictly prohibited within the studio premises. This includes anyone not adhering to these rules. Anyone caught violating these terms will result in the immediate cancellation of the booking, requiring the offending party to leave, and no refund of any monies paid will be issued.

    • Rubbish and Items Left Behind: All rubbish must be taken away at the end of the hire period. No equipment, products, or props may be left behind unless previously agreed upon with the studio.

  9. Parking

    • Free parking is available for a reasonable number of vehicles. However, if you require more than 4 parking spaces or need to accommodate larger vehicles such as lorries, please notify us in advance to make the necessary arrangements. No refund of any paid monies will be returned in such cases.

  10. Catering Options

    • We can offer catering services in partnership with a local company. Please enquire at the time of booking for available options and pricing.

  11. Intellectual Property

    • The Client retains all rights to the content created during the hire period. However, Hertford Studios reserves the right to use images or videos taken of the studio's interior and the process of work for its promotional purposes, with the Client's consent.

  12. Termination of Hire

    • Right to Terminate: Hertford Studios reserves the right to terminate the hire agreement if the client violates any terms and conditions, engages in unsafe activities, or poses a risk to the studio's property or reputation. In such cases, no monies paid will be returned.

  13. Legal Considerations

    • Liability Waiver: All clients are required to sign a liability waiver before using the studio.

    • Compliance with Laws: Clients must comply with all relevant laws and regulations while using the studio. Hertford Studios is not responsible for any legal infractions committed by clients during their hire period.
